Our client, an American integrated facility services company with a regional presence in Singapore, offers building maintenance, engineering and energy management to government bodies, developers, and manufacturers. As their in-house teams grew, managing work across disconnected systems became difficult; it limited real-time visibility, slowed billing, and left their existing M&E and cleaning systems unable to meet both internal needs and customer reporting requirements.

THE CHALLENGES

■ No Real-Time Visibility: Service requests came in through an external system but had to be manually emailed to field teams. This meant managers couldn't see what was happening on the ground as it happened.

‍■ Juggling Various Types of Work: The team had to track two very different kinds of jobs simultaneously: mechanical and electrical maintenance (such as grouping air-conditioning units by floor or brand), along with daily, weekly and monthly cleaning schedules.

■ Manual Reporting: With 100+ technicians and contractors working across various trades, turning their paper reports and checklists into digital records was not only time-consuming, but also left gaps in the audit trail.

■ Billing Headaches: Matching completed job records with the company's financial systems (Workday and Yardi) required manually cross-referencing codes just to produce final billing reports.

THE SOLUTION

FieldEx gave the client one unified central system to manage its field teams. The platform helped connect incoming job requests to ground staff, simplifying subcontractor approvals and automating reporting.

■ One System for All Job Types: FieldEx automates maintenance scheduling for equipment (grouped by type and location) while also managing a complex roster of cleaning routines; from daily tasks like mopping, clearing rubbish, wiping tables and sanitizing high-touch surfaces, to weekly carpet vacuuming, mirror cleaning, and monthly deep-cleaning of lavatories. Each task is assigned to specific team members, scheduled at set times, and tracked floor-by-floor across multi-storey buildings. This level of scheduling complexity would be nearly impossible to coordinate manually, but runs automatically within FieldEx.

■ Digital Checklists on Mobile: Technicians now use a mobile app to check in on jobs, complete required inspection forms, track supplies and generate a finished PDF report the moment a job is done. Given the nature of the work, the FieldEx mobile app needed to stay simple and easy to use while still capturing the right level of detail for each technician's specific roster.

■ Easier Billing: FieldEx standardizes how job data is tracked and matched to reference codes, so information is easily extracted prior to processing on Workday and Yardi. This eliminates billing delays between departments.

Multi-Trade Scheduling Mechanical/electrical maintenance and cleaning schedules were tracked separately, using different workflows for each. Equipment maintenance and cleaning rosters are managed together in one system, regardless of trade.
Service Reporting Technicians filled out paper checklists and reports, which had to be manually converted into digital records. This left gaps in the audit trail. Technicians complete digital checklists and inspection forms on mobile, generating a finished PDF report the moment a job is closed.
Billing & Reconciliation Matching completed job records to Workday and Yardi required manually cross-referencing codes to produce billing reports. Job data is automatically tracked and matched to reference codes, so information flows smoothly into Workday and Yardi.

The next phase of implementation with the client includes:

■ One Central Hub for Field Work: Job requests from the external system will flow directly into FieldEx, removing the need for manual re-entry so office teams can see, in real time, where technicians are, what task they're assigned to, and the status of every job.

■ Integration to Yardi and Workday: As the customer completes the necessary internal milestone, they are looking to integrate FieldEx with their internal system to reduce and ease data flow.
