CMMS migration for Malaysian maintenance teams, with PPM and CF dates intact

Changing your maintenance system should not reset a single planned preventive maintenance (PPM) visit or certificate of fitness (CF) date. Upload your equipment list, component details, PPM schedules and service history, and FieldEx continues from the last job your team completed.

FieldEx is field service management and maintenance management (CMMS) in one system. Malaysian teams moving from another CMMS upload their equipment, component structure, PPM schedules with last service dates, meter readings and past jobs. Certificate of fitness and inspection dates carry over, the app works in English, Bahasa Malaysia and Chinese, and data can be hosted in Malaysia.

What FieldEx does for Malaysian teams changing CMMS

Companies usually leave a CMMS for familiar reasons. Technicians won't use the app, PPM jobs must be pushed by hand, or reports for clients take days. FieldEx starts with your existing records, then builds the schedules around them.

Uploading what you already have

  • Equipment, sites, clients and past jobs can all be uploaded.
  • Completed jobs from previous years uploaded as well, so each machine's service history goes back before the switch.
  • Old service reports, Department of Occupational Safety and Health (DOSH) certificates, drawings and manuals attached to the machine, site or client they cover.
  • Customers and maintenance plans created through the FieldEx API when there is a large or repeat load.

Every machine with its parts

  • Equipment records with serial numbers, specifications, warranty, photos and location, in asset management.
  • Main units and their components kept in levels, so a changed compressor or motor has its own service record.
  • Identifier fields renamed to your terms, such as JKR No. DPA, client tag number or eFEIS sticker number.
  • Meter readings logged per machine, giving a dated record of running hours or counts.

PPM that continues from the last visit

  • PPM schedules by calendar, by meter reading, or by whichever comes first, in preventive maintenance.
  • Each schedule set to fixed dates or to float from the last completed job. Fixed calendar dates apply to time-based plans.
  • Monthly, quarterly and yearly visits in one cycle, each with its own checklist and team.
  • Missed PPM moved to a new date automatically once it has been overdue for the period you choose.

CF, inspections and licences tracked

  • Certificate of fitness renewals and periodic inspections tracked per machine, with due dates, past results and history, in compliance documentation.
  • Inspection and certificate records created automatically from their own schedules.
  • Reminders sent by email, in the app, or both, before each date.
  • Licences and registrations such as ST, Bomba eFEIS and PETRONAS tracked for staff and for the company itself.

Job sheets that look like yours

  • Field names and labels changed to the words your team used in the old system.
  • Digital forms with number fields for readings such as pressure, current and water temperature.
  • Service reports as PDFs with your logo, the work done, parts used, check-in and check-out times and the client's signature.

The app for technicians

  • PPM jobs, machine history and checklists on Android and iOS, in English, Bahasa Malaysia or Chinese, in the FieldEx mobile app.
  • A machine's QR code scanned to open its record or start its checklist.
  • Jobs and tasks can be downloaded and worked offline, with check-in, check-out and travel synced later.
  • An inspection done on the phone can update the machine's status and meter reading.

Checking and keeping the data

  • Reports on breakdowns, downtime, maintenance cost and equipment age, with mean time between failures and mean time to repair, in reporting and analytics.
  • Excel, CSV or PDF exports at any time, plus scheduled exports by email.
  • Data hosted in Malaysia where your clients require data residency.

Which records should come across when a Malaysian company changes its CMMS?

Malaysian law accepts electronic records, provided their integrity holds. Under the Electronic Commerce Act 2006 (Act 658), section 13, a duty to retain a record is met if the electronic record is kept in its original format, or in a format that does not materially change the information. Section 12 judges integrity by whether the information remained complete and unaltered.

So a migration should move the record itself, not a summary of it. For a maintenance team, that means the equipment list and its components, PPM schedules with last service dates, meter readings, open jobs, completed job history and the attached reports.

In practice, teams move six groups of records: the asset register and its hierarchy, PM plans with their last-done dates, meter readings, open and overdue work orders, completed work history, and the documents attached to each asset.

What FieldEx does about it

  • The original reports kept: old service reports and certificates attach to the machine as files, in the format they were issued, rather than being retyped.
  • History against each machine: completed jobs from the old system upload against the right equipment, so the record reads as one line of service.
  • Uploads included: equipment, sites, clients and earlier jobs can be uploaded; setup comes with the subscription.

How do you keep PPM and CF dates right after changing systems?

Under the Occupational Safety and Health (Plant Requiring Certificate of Fitness) Regulations 2024 (P.U.(A) 99/2024, in force 1 June 2024), a certificate of fitness is valid for 15 months from the date of inspection.

The periodical inspection must be done before the certificate expires. For lifts, escalators and tower cranes, a competent person must carry out a comprehensive examination at least every 3 months, or more often if the manufacturer's manual says so.

Under regulation 14(3), missing that three-monthly examination is an offence, with a fine of up to RM100,000, up to one year's jail, or both. A new system that resets the cycle on go-live day puts those dates at risk.

For every CF machine, bring the last inspection date and the certificate expiry date into FieldEx before you switch the old system off.

What FieldEx does about it

  • Certificate dates kept: each certificate of fitness is tracked with its own due date, completion history and result, and reminders go out before it falls due.
  • Fixed or floating, per schedule: a three-monthly examination can stay on fixed dates, while a running-hours service floats from the last job done.
  • Overdue jobs on day one: a job can be raised before its scheduled date when a visit is already late at cutover, and missed PPM is moved automatically after the overdue period you set.
  • Several stages in one cycle: one plan can run a monthly check, a quarterly service and an annual overhaul, each with its own task list and assignee.

Do equipment and component records need to stay linked?

Regulation 20 of the 2024 certificate of fitness regulations requires employers to keep, at the place of work, documents on design verification, construction, installation and operation, and records of testing, inspection, repair and alteration.

For pressurised plant moving to a risk-based inspection scheme, the DOSH risk-based inspection guideline (2nd revision, November 2022) uses risk data from the last three regular inspections of existing equipment.

If the component structure is lost in the move, that history no longer points at the item it describes.

What FieldEx does about it

  • Main units and their parts: equipment sits in parent and component levels, so a replaced valve, motor or rope keeps its own service record under the main unit.
  • Site and equipment together: each machine links to its client, site and project, so a site view shows every item installed there.
  • Labels for every item: new QR code labels print in several sizes, so technicians scan the right component on site.
  • New labels without a hunt: QR code or barcode labels can be printed in several sizes and layouts, so old labels are replaced site by site.

How long must maintenance and job records be kept after switching?

Section 245 of the Companies Act 2016 requires accounting and other records to be kept for 7 years after the transactions they cover are completed. Service records that support an invoice or a contract claim fall under that period, so they can't disappear with the old system.

RecordKeep it for
LOLER thorough examination before first useUntil the equipment is no longer used
LOLER in-service thorough examinationUntil the next report, or 2 years
Work equipment inspection (PUWER)At least until the next inspection
Legionella monitoring resultsAt least 5 years

Regulation 20 of the 2024 CF regulations adds that records of testing, inspection and repair must be available at the place of work.

What FieldEx does about it

  • Past jobs inside FieldEx: completed jobs can be uploaded, so the 7 years sit against each machine rather than in a separate file.
  • Records locked once done: completed jobs lock automatically, and delete rights are set per role, so past service history stays protected.
  • Every report kept: the service report PDF shows the work done, parts, check-in and check-out times, attachments and signature, and each regenerated PDF is kept.

How do you tidy an equipment list before uploading it?

Malaysia has no single published standard for maintenance data quality, so many teams use international checklists. The UK Government Data Quality Framework, an international source, lists four checks worth applying: uniqueness (no duplicates), validity (values in the expected format and range), completeness (the records and fields you need are present) and consistency (no contradicting values for the same item).

For most Malaysian registers, the common fixes are duplicate chillers or lifts entered by two branches, missing serial numbers and old units still marked active.

What FieldEx does about it

  • A structure to load into: equipment types, categories and the statuses each type allows give the tidied list a place to land.
  • Totals to compare: reports count equipment by site, type or status, so the numbers can be checked against the old system after each upload.
  • Changes on record: every later edit to a machine's details is logged with the user and the time.

What happens to lift and crane maintenance agreements when you change system?

Regulation 8(3) of the 2024 CF regulations requires owners of lifts, escalators and similar plant to hold an agreement with a competent person for servicing, adjustment and comprehensive examination, lasting at least one year.

The Eleventh Schedule sets service and adjustment at least once a month and requires the comprehensive examination report to be kept on the premises where the lift is installed.

What FieldEx does about it

  • Contracts with dates: client contracts carry start and end dates, the machines covered and the maintenance schedules linked to them.
  • Your contract types: contracts can be classified by your own types, such as comprehensive or non-comprehensive.
  • Reports where they're needed: each examination report attaches to the lift or crane it covers, and a client can see completed jobs in the customer portal.

Can we run the old system and FieldEx together for a while?

FieldEx usually suggests starting with one team or one branch and adding the rest when they are comfortable. You can also start with everyone at once if the old contract is ending.

The European Commission's Data Act guidance adds that software-as-a-service providers must at least export data in a commonly used, machine-readable format, covering input data, output data and metadata.

Notice periods are capped too: Article 25 says the notice period to start switching can't exceed 2 months. Outside the EU, the contract decides, so ask for a full export in CSV or Excel before you give notice.

Ask your current vendor for a test export of assets, plans and work history before you sign anything new.

What FieldEx does about it

  • A calendar that shows gaps: the maintenance calendar shows overdue, open and completed work, so any schedule on the wrong date is caught in the first week.
  • Branch by branch: schedules can be applied to more sites later, and user roles decide who works in FieldEx from the start.
  • No lock-in: billing is monthly or annual, with no minimum term and no notice period: you simply don't renew at the end of the term.

What should happen to statutory inspection schedules during the switch?

Under the UK Pressure Systems Safety Regulations 2000, HSE says a written scheme of examination must be in place, and an examination done, before any qualifying pressure equipment is used.

The competent person must produce a written report for each examination. For hired or leased equipment, the user should check the scheme is in place and the examination certificate is current.

A CMMS migration that drops the scheme or the last report leaves the next examination without its evidence. Treat statutory items as their own load: scheme, last report, next due date, competent person.

What FieldEx does about it

  • Certificates with their own cycle: recurring compliance certificates and scheduled inspections are tracked per asset, with due dates, completion history and results.
  • Reminders before the date: certificate reminders go by email, in-app notification or both, and a chosen group can be told when one is completed.
  • The paperwork on the asset: the written scheme and past examination reports attach to the pressure vessel, lift or crane they cover.
  • Licences, not only assets: licences and registrations for people and for your own company carry their own renewal schedule and reminders.
Customer story

An American integrated facility services company with a regional presence in Singapore found its existing mechanical and electrical (M&E) and cleaning systems could not meet internal needs and customer reporting requirements.

It moved more than 100 technicians and contractors onto FieldEx, which now schedules equipment maintenance grouped by type and location alongside its cleaning rosters.

What Malaysian maintenance teams ask about switching to FieldEx

Can our old job records be uploaded to FieldEx?

Yes. Completed jobs from earlier years can be uploaded, together with equipment, sites and clients. Every job sits against its machine, so a technician opening the record on site sees the whole history.

Will our PPM dates reset?

No. Each schedule can run on fixed dates or float from the last completed job. Bring the last service date across and the next job appears on time.

Can FieldEx track certificate of fitness renewals?

Yes. Each CF is tracked per machine with its due date, history and result, with reminders by email or in the app before it expires.

Can we keep JKR or client asset numbers?

Yes. Identifier fields on every machine can be renamed to your terms, such as JKR No. DPA or eFEIS Sticker No., and the new names show on web and mobile.

Can our data be hosted in Malaysia?

Yes. FieldEx can host your data locally in Malaysia where data residency is required.

Will technicians need new phones?

No. The FieldEx app runs on Android and iOS phones, and every licence includes it. Technicians can use it in English, Bahasa Malaysia or Chinese.

Can FieldEx link to our accounting system?

FieldEx can connect to any open system through REST APIs and has connectors for QuickBooks and Xero.

How long does it take to switch to FieldEx from another system?

Once we know your requirements and your data is ready, FieldEx can be implemented in as little as a week with standard features for small businesses. Larger setups and custom work take longer.

Most implementations take 1 to 3 months, mostly depending on how long your data takes to prepare. There's no setup fee, and our team trains at your office or online in Bahasa Malaysia or English. See FieldEx implementation.
