FieldEx scheduling board with waiting jobs beside each technician's day

FieldEx is a field service and asset management (FSM+CMMS) application. As field service scheduling software, it puts waiting jobs and every technician's day in one view. Jobs go to technicians with the right skills who aren't on leave. Planned maintenance arrives by itself, and urgent calls are re-planned in minutes.

  • Every waiting job and technician on one board.

  • Jobs matched to the right skills, never to someone on leave.

  • Planned maintenance and breakdowns scheduled side by side.

What FieldEx does as field service scheduling software

FieldEx schedules field work and maintenance work in the same place, so a dispatcher plans one list rather than two.

Because the schedule sits on top of work orders, assets and maintenance plans, every booking carries the asset, the site and the history with it.

The scheduling board

  • A day view and a week view, with one row per technician.
  • A list of waiting jobs beside the calendar, ready to place.
  • Drag a waiting job onto a technician's day to book it.
  • Create a new job straight into an empty slot, from a template if you like.
  • Jobs colored by job type, so the day's mix is visible at a glance.
  • Filters by job type, status, service zone, customer and asset type.

Matching people to jobs

  • Assign a job to one technician or to a team.
  • Jobs given to a team are shared fairly across its members.
  • Skills named after licenses and qualifications, used to match the right technician to each job.
  • Automatic assignment for new jobs, with a supervisor told if nobody suitable is found.
  • Teams built your way: by trade, region, seniority or certification.

Shifts and leave

  • Technicians on approved leave are skipped when jobs are assigned.
  • Leave requested from the phone and approved by the manager.
  • Shift patterns given to people or teams, with each technician seeing their own shifts in the app.

Planned and recurring work

  • Preventive maintenance jobs created on schedule and waiting to be placed.
  • Maintenance jobs that can go straight to the person responsible for the asset.
  • Recurring jobs on a fixed cycle, created without anyone retyping them.
  • Jobs raised from checklist findings and QR fault reports, waiting in the same list.

Changing the plan

  • Re-assign or re-schedule a job, including every task on it at once.
  • Change a job's expected duration by stretching its block on the calendar.
  • Move a job back to the waiting list when the day changes.
  • The technician is told as soon as a job is assigned or moved to them.

Jobs with several parts

  • A job can hold several tasks, each with its own time and technician.
  • Tasks booked and moved one by one, or all together.

Response times

  • Service-level agreement (SLA) timers on each job, from a waiting stage to completion.
  • Business-hours calendars, so timers only run in working time.
  • Warnings when a job is at risk, and alerts when a target is missed.

On the technician's phone

  • The day's jobs in one feed, plus any other day's.
  • Accept or decline a new assignment from the phone.
  • Directions to site, a journey log and check-in on each task.
  • Progress the office can follow without phoning.

Paperwork for the day

  • A daily job sheet per technician, listing the jobs and the parts needed for the day.
  • Several technicians' sheets printed or emailed together.
  • Customers can see upcoming visits and reschedule them in the customer portal.

See every waiting job and every technician's day in one board

The board shows what is waiting and who is free on one screen, so booking a job takes a drag, not a phone round.

Most scheduling problems start with two lists that don't meet: jobs in one place, people's diaries in another. In FieldEx the waiting jobs sit beside the calendar, with a row for each technician in a day or week view. A dispatcher drags a job onto a free slot, and it is booked.

New work joins the waiting list from wherever it starts. It can come from the office, the phone, a preventive maintenance plan or a checklist finding. It can also come from a QR fault report, the customer portal or another system. Nothing has to be retyped into a diary before it can be planned.

Portal requests notify your team automatically. You can also set up alerts for QR reports, by email or in the app, as soon as a report comes in.

FieldEx colors each block by job type. A glance shows how much of tomorrow is planned maintenance and how much is call-outs. When the list gets long, filters by service zone, customer, status and asset type narrow the board to one region or one contract.

Send each job to a technician with the right skill or license

Skills can carry the name of a license or qualification, and FieldEx uses them to match each job to someone qualified.

Some work may only be done by people with the right license or training. In FieldEx you create a skill for any license or qualification your work needs, from electrical grades to refrigerant handling or confined-space training.

You then give each technician the skills they hold. Skills can carry an expiry date. When jobs are assigned, FieldEx uses those skills to match the right technician to each job.

Teams can be built the same way: by trade, region, seniority or certification. A job that needs a certified electrician in the north region goes to that team. It doesn't go to a general pool where the wrong person picks it up.

Book work around shifts and approved leave

FieldEx skips technicians who are on approved leave, so a job never lands with someone who isn't working that day.

Shift patterns can be given to people or teams, and technicians see their own or their group's shift schedule on the phone. Dispatchers then book work around the hours each person is actually rostered.

Technicians request leave from the app, and their manager approves it. Approved leave is taken into account when jobs are assigned, so the job goes to the next suitable person without anyone stepping in.

Keep planned maintenance on the same schedule as breakdowns

Preventive maintenance jobs arrive on the board by themselves, so planned visits and call-outs compete for time in plain view.

FieldEx creates jobs from each asset's or site's maintenance plan when they fall due. They can go straight to the person responsible for that asset, or wait in the list for a dispatcher to place. Recurring jobs on a fixed cycle are created the same way.

Both kinds of work share one board. A dispatcher can see when a week of breakdowns is squeezing out planned visits, and move them before they slip. Every completed job adds to the asset's history, which is what the next plan is built on.

PPM and breakdown jobs share the same board. You can see when a run of breakdowns is pushing PPM visits back, and rebook them before the contract report shows a gap.

Fit the urgent call into a full day

Re-assign, re-schedule or send a job back to the waiting list in a few clicks, and the technician hears about the change straight away.

A schedule set at 7am can fall apart with one emergency at 11 that sends someone 90 minutes the other way. The fix is seeing who is free and moving the right job, not ringing round.

In FieldEx you open the job on the board and re-assign it to another technician or team. You can also re-schedule it or move it back to the waiting list. A job with several tasks can be moved task by task, or all at once. FieldEx notifies the technician as soon as a job is assigned or moved to them.

On the phone, technicians can accept or decline a new assignment, so the office knows quickly whether the urgent job is covered.

Prove the response times your contracts promise

SLA timers run on each job and warn before a target is missed, so the urgent work is the work that gets scheduled first.

A service-level agreement (SLA) usually sets two clocks: how fast someone responds and how fast the fault is fixed. In FieldEx an SLA is built from stages, each a timer with its own start, pause and end. One stage can time how long a job waits before work starts, and another how long it takes to finish.

Business-hours calendars set the working days and times the timers run against, so a four-hour target doesn't keep ticking overnight. Each job shows its SLA status, and FieldEx can alert chosen people or teams when a job is at risk or a target is missed.

Different customers can have different service levels, so a dispatcher can see which waiting job carries the tightest promise.

Give each technician the day's plan, parts included

A daily job sheet lists each technician's jobs for the day and the parts they need for all of them, ready to print or email.

Technicians lose time when they reach site without the right part. FieldEx produces a daily job sheet for each technician from the board. It lists the day's jobs and the spare parts needed across them, so the van is loaded once in the morning.

Several technicians' sheets can be produced together, as one PDF, and emailed to supervisors or the stores. The same plan reaches the technician's phone, where each job carries its customer, site, asset and tasks.

Know that people got there, and stay in touch

Check-ins and journey logs show the office that each technician has reached site and started work, without a call.

Technicians stay in control: they can switch location tracking off at any time by setting their app status to unavailable.

Field technicians often work alone, so the office needs to know who has reached site. In FieldEx, technicians log the journey to each job and check in and out of each task on the phone. The office follows progress on the job itself. When jobs are assigned automatically, a technician's current location can help pick who is nearest.

One schedule for call-outs and planned maintenance

Because FieldEx is field service management and a CMMS in one system, the schedule knows the asset behind every job.

Scheduling tools built only for trades see a list of appointments. In FieldEx, each booking is a work order linked to an asset, a site and a maintenance plan. A preventive maintenance visit, an inspection and an emergency call-out all sit on the same board. All of them add to the asset's history.

That link works both ways. Maintenance plans feed the schedule with jobs as they fall due. What technicians record on site keeps the asset's history and meter readings up to date for the next plan.

How Chubb moved from rigid task scheduling to automatic assignment

Chubb is an integrated security provider with 18 branches across Malaysia. Before FieldEx, rigid task scheduling made urgent or same-day tasks hard to handle. Planners waited until the end of the day for technician updates.

With FieldEx, tasks are assigned automatically to the right technician. Planners see active, pending and completed jobs on a central dashboard, and they get automated SLA compliance reminders.

Questions dispatchers and service managers ask about scheduling in FieldEx

Is FieldEx a good scheduling tool for technicians who look after equipment?

Yes. FieldEx puts waiting jobs and every technician's day on one board and matches jobs to people with the right skills. It skips anyone on approved leave and creates preventive maintenance jobs on schedule. Because it is also a CMMS, each booking is linked to the asset and its history. Planned visits and call-outs are planned together.

FieldEx shows waiting jobs and every technician's calendar on one board. It matches jobs to skills named after your technicians' licenses, and skips staff on approved leave. It also creates PPM jobs from each unit's plan, so your coordinator isn't rebuilding the week by hand.

Can FieldEx assign jobs to technicians automatically?

Yes. FieldEx can assign new jobs automatically to a suitable technician, using their skills and availability and skipping anyone on approved leave. The technician is notified. If no suitable technician is found, a supervisor can be told. You can still assign or move any job by hand on the scheduling board.

Can FieldEx send a job only to technicians who hold the right license?

Yes. Create a skill for any license or qualification, such as an electrical grade or confined-space training, and give each technician the skills they hold. Skills can carry an expiry date, and FieldEx uses them to match the right technician to each job.

Does FieldEx skip technicians who are on leave?

Yes, once their manager approves the leave. Automatic assignment then passes the job to the next suitable person. A supervisor can be alerted if nobody suitable is free.

Can we see every technician's schedule on one screen?

Yes. The scheduling board shows a day or week view with one row per technician, and the waiting jobs beside it. FieldEx colors jobs by job type, and you can filter by service zone, customer, status or asset type.

How do we fit an emergency job into a full day?

Open the job on the board and assign it to whoever is best placed, then re-schedule or move other jobs back to the waiting list. Changes can apply to every task on a job at once. The technicians affected are notified straight away, and they can accept or decline new work from the phone.

Can preventive maintenance jobs be scheduled automatically?

Yes, as described under Keep planned maintenance on the same schedule as breakdowns. The dispatcher's job then shifts from booking routine visits to protecting them when breakdowns pile up.

Can customers reschedule their own visits?

Yes. The customer portal lets clients see their jobs and upcoming maintenance, raise requests and reschedule visits, and a rescheduled visit updates the plan.

Can technicians see their schedule and accept jobs on their phone?

Yes. The FieldEx app shows assigned work orders and today's tasks in one feed, and any other day's jobs too. Technicians can accept or decline a new assignment, get directions to site, log the journey and check in on each task.

Can we print a daily job sheet for each technician?

Yes. From the board, FieldEx produces a daily job sheet for each technician that lists the day's jobs and the spare parts needed for them. Sheets for several technicians can be produced as one PDF, then downloaded or emailed.

Can FieldEx track response and fix times against an SLA?

Yes. SLA timers run on each job, against business-hours calendars, so time is only counted when it should be. Each job shows its SLA status, and FieldEx alerts chosen people when a job is at risk or a target is missed. Different customers can have different service levels.

Can one job be split across several technicians?

Yes. A job can hold several tasks, and each task can have its own time and technician. Tasks can be scheduled and moved one at a time, or all together.

Does FieldEx show where technicians are when assigning work?

Yes. When jobs are assigned automatically, a technician's current location can help choose who is nearest, and check-ins show when each person reached site. Technicians can switch location tracking off at any time by setting their app status to unavailable.

Is the mobile app included for every technician?

Yes. Every FieldEx license includes the mobile app, and every license is priced the same, whether it is for a technician or an office user.
