Technician scanning an equipment QR code with the FieldEx field service app

FieldEx is a field service and asset management (FSM+CMMS) application. Its field service app is where technicians do the work. They see the day's jobs and scan an asset's QR code for its history. They follow the steps and record photos, readings and parts. Each job closes with a customer signature and PDF report.

  • The whole job and the asset's history in the technician's hand.

  • Proof recorded on site: photos, readings, times and signature.

  • Jobs and tasks work offline and sync when the phone reconnects.

What FieldEx does for technicians in the field

The FieldEx app covers a technician's whole job, from the morning list to the customer's signature.

Every record stays on the asset it was done on. FieldEx is a CMMS as well as a field service application, so the maintenance record travels with the technician.

The day's work

  • A home feed of assigned work orders and today's tasks.
  • Any day's work orders, not just today's.
  • Accept or decline a new assignment from the phone.
  • Customer, site and asset details on the job before leaving.
  • The work order PDF is viewable in the app.

Getting to site

  • The job's location on a map, with route, distance and travel time.
  • Journey logging with pause and resume, so travel time sits on each job.
  • Check in when work starts and check out when it ends, task by task.

Working on the asset

  • Scan an asset's QR code or barcode to open its history or start the next action.
  • Scan to fill in the asset on a new job, so the work is logged to the right unit.
  • Previous work orders, maintenance plans, contracts and attachments on the asset record.
  • A warning when a new job repeats recent work on the same asset.
  • Meter readings recorded on the asset, with their history.

Tasks, procedures and readings

  • Tasks and procedures added to the job, from templates or by hand.
  • Procedures that keep tasks in the order you set.
  • Required tasks finished before the work order can close.
  • Custom job forms with number fields for readings such as pressures, amps and temperatures.

Inspections and certificates

  • Inspection checklists matched to the asset, opened from a scan.
  • Findings that turn into follow-up work on the spot.
  • Due, overdue and completed certifications and inspections, across every asset.
  • Inspections and certifications marked complete on the phone, with the certificate file attached.

Proof of work

  • Photos and videos from the camera or gallery, attached to the job.
  • Photos that can be marked up, with a location and time stamp on camera photos.
  • Notes and attachments on each task, and a full activity history on every job.

Parts and stock

  • Parts used recorded on the job, from a list or from the technician's own stock.
  • Each technician's own van stock, visible on the phone.
  • Parts and assets found by search or scan, down to the exact storage location.
  • Stock moved between technicians and stores from the phone, with a movement history.

Finishing the job

  • Customer signature captured on the phone.
  • The completion PDF viewed or emailed from the job, with a record of every email sent.
  • New customers, sites and equipment added on site when the job needs them.

Working without signal, and the technician's own time

  • Jobs and tasks downloaded and worked offline, with check-ins, check-outs and travel synced later.
  • Leave requested from the phone, with approval status visible.
  • Their own or their group's shift schedule.
  • Runs on Android and iOS phones, and every FieldEx license includes the app.

Work orders with the whole job attached

Each work order arrives with the customer, site and asset, plus its tasks, parts and notes. Technicians never ring the office to ask.

A job that arrives as a text message or a phone call leaves the technician guessing. In FieldEx, the work order opens with its customer and contact, and the site and its map location. It also shows the asset, the tasks and procedures, and the parts list. The notes from whoever raised it come with it.

Jobs from a preventive maintenance plan arrive in the same feed as breakdowns, so planned visits and call-outs are handled the same way on site. Technicians can open any day's jobs, not only today's, and accept or decline a new assignment from the phone. The office follows each job's progress without a call.

Scan the asset, see its history, start the work

A QR or barcode scan opens the asset's record or starts the next job, so technicians work from history, not memory.

Every asset in FieldEx can carry a QR code or barcode. A scan opens its record, with past work orders, maintenance plans, contracts and attachments. A scan can also start the next action straight away, such as the inspection checklist or a new work order.

Scanning on a new job fills in the asset, so the work is logged against the right unit. The asset's log is updated on the spot, not typed up later at the office.

If the unit has had the same work recently, FieldEx warns that the new job repeats it. That repeat-job alert is how a supervisor spots a unit that keeps failing before the third visit, not after it.

Time recorded task by task, and the office kept in touch

Check-ins, check-outs and journey logs record travel and time on every task, and show the office that each technician got there.

That shows where time actually goes across job types. It also gives the customer an accurate account of the visit. For anyone working alone, the office can see when they arrived and when they left.

Technicians stay in control of their location: they can switch location tracking off at any time by setting their app status to unavailable.

Technicians log the journey to each job, pausing and resuming where they stop, and check in and out of each task. The job then holds the travel time, distance and time on each task.

Steps that can't be skipped, readings recorded as exact values

Procedures keep tasks in order, required tasks must be done before the job closes, and readings go into number fields.

A busy day is when steps get missed. In FieldEx, procedures keep tasks in the order you set. Required tasks have to be completed before the work order can close, so a half-finished job can't be marked done.

Custom job forms, set up during onboarding, add number fields for readings such as pressures, amps and water temperatures. Technicians enter the exact values on site, and every reading is recorded against the job. Meter readings go onto the asset itself, building a timestamped history that keeps time- and meter-based maintenance plans accurate.

Inspections and certificates handled on the phone

Technicians open the asset's inspection checklist from a scan, raise follow-up work from findings, and mark certifications complete with the certificate attached.

Technicians can also see due, overdue and completed certifications and inspections across every asset. They can mark one complete on the phone and attach the certificate file, so the record is finished before they leave.

In FieldEx, the inspection checklist for each asset opens from a scan. When a finding needs action, the technician raises the follow-up work on the spot instead of waiting for the office. The result stays on the asset's record. Condition grades captured in a checklist can update the asset's status.

Signed off and sent before leaving site

The customer signs on the phone and the completion PDF is emailed from the job before the van leaves.

The customer signs on the technician's phone, and the signature goes onto the job and its completion PDF.

Photos and videos go onto the job from the camera or gallery. Photos can be marked up, and camera photos are stamped with location and time, so a before-and-after set stands as evidence later.

The standard completion PDF shows the job and equipment details, the fault and its resolution, and the spare parts used. It also shows check-in and check-out times, the work carried out, attachments and the customer's signature. It can be viewed or emailed from the job, with a record of every email sent.

Each job type can be set to lock completed jobs, so only the roles you choose can edit them.

Keeps working where the signal doesn't

Jobs and tasks can be downloaded and worked with no signal, and check-ins, check-outs and travel sync once the phone is back online.

Plant rooms, basements, risers and rural locations rarely have good signal, and an app that stops working there sends technicians back to paper. In FieldEx, technicians download their jobs and tasks and work them offline. Check-ins, check-outs and travel are saved on the phone and sync once it reconnects.

The technician carries on with the job. The office sees the update as soon as there is a signal again, without anyone retyping a paper sheet.

Parts from the technician's own stock

Technicians hold their own van stock in FieldEx, record parts used from it, and move stock with every movement on record.

On the job, technicians record parts used from the parts list or from their own stock. They can scan or search to find a part or an asset and see exactly where it is held. They can move stock between technicians and stores from the phone, with each movement on record.

The asset then shows which spare parts were used on its work orders. That history matters when the same component keeps being replaced. The storekeeper sees what each technician is carrying without a weekly count.

One field service app for call-outs and planned maintenance

Because FieldEx is field service management and a CMMS in one system, every job on the phone adds to the asset's history.

The app isn't only a job list. A preventive maintenance job, a scheduled inspection and an emergency call-out all land in the same feed. All of them link to the asset and add to its history. Readings and inspection answers on the phone keep the asset's status and meter current. That keeps time- and meter-based maintenance plans accurate.

See how the app connects to Scheduling and Dispatch, Work Order Management and Preventive Maintenance. It also connects to Asset Management, Spare Parts and Inventory and Inspections and Compliance. You can also read how Field Service Management software compares.

How EC Solutions runs equipment replacements from the FieldEx app

EC Solutions (aviation equipment, Uruguay): technicians scan a QR code on the equipment with the FieldEx mobile app to create a replacement job. They record one or several part replacements in a single mobile form and capture technician and customer sign-offs. The result is a full, timestamped record of every swap.

How Coffex replaced paper service reports with the FieldEx app

Coffex Coffee Malaysia, an Australian coffee roaster with a high-capacity roastery in Malaysia: handwritten service reports had slowed operations and were often hard to read.

Now technicians log service tasks through the FieldEx mobile app, customers sign off on the phone screen, and the service report is generated automatically. As Coffex's Technical Manager puts it, "it's all electronic and digital."

Questions technicians and managers ask about the FieldEx app

What is the best app for field service technicians?

The best app runs the whole visit from one screen and ties every record to the equipment.

FieldEx is built that way, for technicians who service and maintain equipment. From one app they see the day's jobs and scan an asset to open its history. They work through tasks and inspections and record photos, parts and readings.

Each job closes with a customer signature and a PDF report. Planned visits and breakdowns are handled the same way on site.

Can technicians manage work orders from the FieldEx app?

Yes. Technicians see their assigned work orders in one feed and can open any day's jobs. They accept or decline new assignments and check in and out of tasks. They close the work order when the required tasks are done. Each job carries its customer, site, asset and parts list.

Does the FieldEx app work offline, with no signal?

Yes. Technicians can download their jobs and tasks and work them with no signal. Check-ins, check-outs and travel are synced once the phone is back online.

Can the FieldEx app replace paper job sheets and service reports?

Yes. The work order holds what a paper job sheet would. That means the customer and site, the asset, the tasks done and the time on each task. It also holds parts used, readings, notes, photos and the customer's signature. When the job closes, the completion PDF can be emailed to the customer from the job.

Can technicians see past jobs on an asset before they start?

Yes. Scanning the asset's QR code or barcode opens its record, with previous work orders, maintenance plans and the spare parts used on earlier jobs. If the new job repeats recent work on the same asset, FieldEx flags it.

The PDF service report shows the job and unit details, the fault and resolution, and parts used. It also shows check-in and check-out times, the work done, attachments and the signature.

Can technicians take photos and share them with the customer and the office?

Yes. Photos and videos are attached to the work order from the camera or gallery, so the office sees them on the job. Photos can be marked up, and camera photos are stamped with location and time. Attachments appear in the completion PDF the customer receives.

Can the customer sign off the work on the technician's phone?

Yes. The customer signs on the phone when the job is complete, and the completion PDF is ready to view or email straight away.

Can technicians record readings such as pressures and temperatures?

Yes. Custom job forms, set up during onboarding, add number fields for readings. Examples are pressures, amps and water temperatures, and each value is recorded against the job. Meter readings go onto the asset, building a timestamped history.

Can technicians use parts from their own van stock?

Yes. Each technician can hold their own stock in FieldEx. Parts used on a job can come straight from it. Technicians can move stock between technicians and stores from the phone, with a movement history.

Can technicians complete inspections and raise follow-up work on the spot?

Yes. The asset's inspection checklist opens from a scan, and any finding that needs action becomes follow-up work on the spot. Technicians can also mark certifications and inspections complete on the phone and attach the certificate.

Can a job be closed before every required step is done?

No. Required tasks must be finished before the work order closes, and procedures keep the steps in the order you set.

How is travel time recorded?

Technicians log the journey to each job, pausing and resuming where they stop, and FieldEx records the distance and duration on the job. Check-in and check-out on each task records the time spent on site.

Will technicians find the app easy to use?

The app opens on a feed of pending work orders and today's tasks, with search, scan and the job list close at hand.

Most of the work is scanning, choosing and photographing rather than typing, and the job shows what the technician needs before they arrive. The web and mobile apps are available in English, Bahasa Malaysia, Chinese, German and Spanish, and each user picks their own.

Which phones does the app run on, and is it included in every license?

The FieldEx app runs on Android and iOS phones. Every FieldEx license includes the mobile app, and every license is priced the same, whether it is for a technician or an office user.

How long does it take to set up FieldEx?

There's no setup fee. Customers, sites, assets and past jobs can be uploaded. FieldEx helps with setup, and training is included. See Setup and Training.

You can also set FieldEx up yourself with guides, videos and the in-app AI assistant, which answers questions as you go.

Once we know your requirements and your data is ready, FieldEx can be implemented in as little as a week with standard features for small businesses. Larger setups and custom work take longer.
