A leading Southeast Asian oilfield services contractor specializing in offshore OCTG*, our client has built a reputation for engineering innovation, such as their smart well-monitoring system endorsed and approved by Shell SIEP. They manage complex assets across harsh rig environments under strict HSSEQ* standards. However, coordinating multi-site logistics, fleets and heavy machinery on basic ERPs and manual spreadsheets created operational friction, data errors and rising compliance risks.

THE CHALLENGE

■ Mixed Maintenance Schedules: Fixed calendar-based servicing didn't account for how much equipment was actually being used. The team needed a smarter system that services equipment after 300 hours of use (or kilometers driven) or every 6 months, whichever happens first.

■ Confusing Logistics Requests: Requests for equipment pickups and deliveries came in through WhatsApp or phone calls. There was no clear way to tell which of the two internal teams should handle each job. This resulted in mix-ups and delays.

■ Paper Logbooks Meant Double Work: Drivers filled out paper forms for vehicle checks, mileage and fuel use before every trip. Someone then had to manually retype all of that into office systems. This was time-consuming, and often led to mistakes.

■ Equipment Transfers With No Clear Trail: Moving parts and equipment between storage areas wasn't tracked digitally. Outside drivers without system access had no reliable way to confirm they'd received items.

■ Safety Records Weren't Synced: Safety inspection reports and vehicle check forms were stored separately from client site records. This made it hard to pull together a complete picture during compliance reviews.

■ Complex Equipment Required Detailed Tracking: Machines often comprised various, intricate parts. There was no way to track maintenance for each individual component. This was especially an issue for equipment that needed monitoring over a 5-year span.

FieldEx Solutions

■ Simple Request Forms with Automatic Routing: A QR code opens a simple form where users pick either "Request" or "Delivery" from a dropdown. The system then automatically sends the job to the right team. 

■ Digital Transfers with Sign-Off: Moving equipment between storage locations now requires approval that’s been built into the system. A PDF is generated, and the receiver digitally signs the form. Anyone – even outside drivers – without access to the FieldEx app can confirm they received the item.

■ Mobile Forms for Trips and Safety Checks: Drivers now fill out trip details (mileage, fuel, vehicle condition) on their phones. A separate form lets teams log safety inspections. Both are tied directly to the customer site.

■ Tracking of Equipment and Its Parts: Complex machines and their individual components can now each have their own maintenance schedule, tracked over the full 5-year service plan.

■ A Record of Every Schedule Change: Any time a maintenance date is pushed back, the system logs who made the change and why,  keeping a clear record for compliance. This matters because missed maintenance can lead to serious penalties, and worse, breakdowns that cost the client's own customers (e.g. major energy companies) millions in losses.
